Compliance Administration

Compliance Administration is accessed from the Client Tab of the BalanceWare ribbon. 

We admit, Compliance Administration is a pretty lofty title for a tax form transmittal, but that's what this BalanceWare subsystem produces, and does so efficiently.

The CA system is a separate database and unique to each user. It resides in a sub-folder of the BalanceWare program folder. The sub folder is "cache" and the database name is "ca.accdb". Should you move your BalanceWare program, be sure to copy all sub folders as well.
The first button on the left of all ribbons have a Timekeeper On / Off toggle button which allows BalanceWare to track time by client. See the TimeKeeper Dashboard help topic for details.

Transmittals Tab 

There are four tabs on the CA form.  The first tab, Transmittals, produces tax form filing instructions as well as filing envelopes and half-sheet labels. Envelopes and labels print to a printer designated on the Options tab.

CA Clients Tab

These are client names and addresses. There is an Add Current Client button which does exactly that-it adds the name and address for the current client, if not already present. You can also add clients by simply adding one on the rolodex style form by typing a name and address on a new record.

Agency Forms Tab

Taxing authorities are maintained on Agency Forms tab. The formula for calculating due dates will also be found on this tab. You can automatically load Federal agencies, on a state-by-state basis.

Open Compliance Administration from anywhere in BalanceWare by pressing Alt-C-C-A

State and local agencies can be added manually, along with the rules for computing due dates. Other parameters include the "payable to" field for writing checks,  balance due/no balance due addresses and handling instructions.

Use the Engagement Documentation dashboard to associate client documents and notes with objects in BalanceWare.

Notes and documents can be linked to the following items (on a per client basis):

 Look for the Engagement Documentation icon on BalanceWare forms.

 

Clicking the icon will open the Engagement Documentation dashboard. In the case of journal entries and cash disbursement batches, double-clicking on the Preparer Notes field accomplishes the same. Once open, click on any attachment to open the document.

See the Review Notes button on the Client Tab for reviewing notes from all sources within BalanceWare. 

Note: to maintain link integrity, do not manage documents from Windows Explorer. Moving or deleting client documents may break links. Documents can be edited and documents can be added using Windows Explorer, but do not delete or move documents or folders. Broken links will be placed in a special folder in the Documents treeview called "Orphans" and can be relinked from this special folder.

Options Tab 

Adding a letterhead to transmittals is facilitated on the Options Tab. For best results, format your image file for 7.5 inches wide by 2 inches tall. A resolution of 200-300 dpi is recommended. We recommend the "cache" sub-folder, which is found in the BalanceWare program folder, to place the letterhead image file. If you would like us to prepare an image file from your letterhead, please mail your letterhead to Jeff Christian, 3555 Middle Post Ln, Rocky River, OH 44116, or contact via support at the link below.

The Options Tab also contains a custom paragraph for Balance Due transmittals only. This is a handy place to remind clients to put the form number and their ID# in the memo section of their check or remittance.

Additionally, label and envelope printer names can be specified on the Options Tab. If no printer is specified, the default printer will be used.

Submitting a support ticket is the best way to expedite your issue. The support ticket automatically includes information we need to service your installation properly. By submitting a support ticket, we won't have to ask you all the preliminaries and, if you add a brief description, we will be better prepared to get to the heart of the matter ! We receive your ticket immediately upon submission and will respond ASAP; usually within minutes. Submit your support ticket from the About form on the Help tab.
