The BalanceWare Ribbons

Holding down the Alt key for slightly longer than a normal key press will activate the shortcuts keys for the BalanceWare ribbon. For example, from anywhere in BalanceWare, to send a text message the key sequence would be Alt-C-C-C. Hover over a control for Screen Tips, which provide insight into the underlying functionality.

 ShortKeys

All of the Tabs and Buttons on the BalanceWare ribbon have short keys. To expose the short keys, press and hold the ALT button until they appear. A complete short key consists of the Tab letter followed by one or two characters specifying the button letter(s). A list of some commonly used ShortKeys:

Open Windows Navigation

Every form and report is opened in its own window. Reports in Print Preview can be closed with the Escape key when they have the focus, or clicking the window-close icon with the mouse. To close a report in Report View, use the space-bar and then the Escape key. Any open reports are not included in the [F4] key rotation (see below).

Forms are closed with the Shift-ESC key. Forms can be looped through, ie you can change the focus of form windows, using the [F4} key. Any open reports are not included in the [F4] key rotation.

Once a report looses focus, the mouse must be used to click on the report to give it the focus. All forms and reports are refreshed when they receive the focus, if the underlying data is changed in another window.

Form Navigation

BalanceWare has two types of forms; standard forms and forms with sub forms. Forms with sub forms consist of one or more continuous forms inside a standard form. Use the Tab key to quickly switch between multiple sub forms  or the sub form and the standard form. An example of a plain vanilla standard form is the Client Profile form. The important point is the Tab key, if you want to quickly switch to the other section of a form.

All forms, except dialog forms, have context sensitive Help F1, History F2 and Drilldown F3, if appropriate.

Record Selectors 

Many of the BalanceWare forms have record selectors. Record selectors are multi-purpose depending on the form. For all forms with record selectors, clicking on the record selector will select the record. 

You can also double-click on some selectors to perform an action. On dashboards with tags, a double-click on a record selector will toggle the tag.  See this Help topic for further information on tags.

Use the Engagement Documentation dashboard to associate client documents and notes with objects in BalanceWare.

Notes and documents can be linked to the following items (on a per client basis):

 Look for the Engagement Documentation icon on BalanceWare forms.

 

Clicking the icon will open the Engagement Documentation dashboard. In the case of journal entries and cash disbursement batches, double-clicking on the Preparer Notes field accomplishes the same. Once open, click on any attachment to open the document.

See the Review Notes button on the Client Tab for reviewing notes from all sources within BalanceWare. 

Note: to maintain link integrity, do not manage documents from Windows Explorer. Moving or deleting client documents may break links. Documents can be edited and documents can be added using Windows Explorer, but do not delete or move documents or folders. Broken links will be placed in a special folder in the Documents treeview called "Orphans" and can be relinked from this special folder.

New with BalanceWare version 2.308 is the ability to add notes to individual accounts.  Simply open the Engagement Documentation dashboard from any form, document, journal entry, or cash disbursement batch and select an account at the bottom of the report.

All notes and attachments for forms, documents, journal entries, cash disbursement batches, and accounts can be reviewed and edited from the Client tab by selecting Review Notes.

Keyboard Standards and Shortcuts

Data entry screens, such as Journal Entries and Cash Disbursements, as well as Accounting and Tax Dashboards are optimized for mouseless entry. The mouse works normally as well.

The important function keys to memorize are F5 - F8. All other function keys are documented on each form via button assignment.

Calculators

Windows Calculator

Control-+ (control key and the plus key combination) will open a windows calculator. A form must have the focus to activate this feature.

In-line Calculator

For all fields on forms, equations can be entered instead of an amount. The equation is evaluated left-to-right without regard to the rules of algebra.

For instance "6 + 3 * 4= " would evaluate to 36. Please note the "=" sign at the end of the above BalanceWare equation. The equals sign tells BalanceWare to calculate. The in-line calculation takes place the moment the equal sign is pressed.

If no calculation is possible due to illegal characters, the field will remain unchanged, otherwise the equation will be automatically replaced with the calculation result. Allowable characters are spaces and the following 0123456789.*/+-=. Calculations are rounded to two decimals.

Miscellaneous

Resize the BalanceWare Application Window 

If any form is open, the Control-Backspace combination will resize the BalanceWare application window for optimal usage; but only if the application window is in a restored state, ie; not maximized or minimized. Optimal usage is as small as possible without obscuring the view of the largest form in BalanceWare.

Date Input Format 

All date fields should be entered in "mmddyy" format.
