New to BalanceWare? 

If you are using BalanceWare for the first time, we recommend a quick review of Navigation Help and Advanced Folder Management Help. Don't let "Advanced" scare you, it is really quite simple! 

Our second recommendation is Sample Companies. Open one or two Sample Companies to become familiar with BalanceWare features. Visit our website and blog often, for the latest information and BalanceWare updates.

Sample company files do not follow the folder structure described in Advanced Folder Management. Sample companies reside in a sub-folder of the BalanceWare program folder named "samples". Therefore, the ClientShare cloud and Engagement Documentation features are not available.

There are two options when starting BalanceWare for the first time. You can add a client from the Client Tab on the ribbon or you can open a Sample Company from the Help Tab. Sample companies are a great way to become acquainted with the software so you benefit the most from BalanceWare features.

Installing BalanceWare

System Requirements

As of version 2.112, runtime versions of Access will no longer be supported, due to a performance issue with the Access Runtime component. A subscription to Microsoft 365®, Business Standard or higher, or an installation of Office 2021 is required. Click for Microsoft365 Business Standard pricing and downloads. Use one license to cover fully installed Office apps on five mobile devices, five tablets, and five PCs or Macs per user. Click here to purchase the non-subscription version, Office 2021.

The default installation folder, C:\BalanceWare, is selected during the installation. For optimal performance, we recommend installing BalanceWare on an SSD drive, if available.

Installation Instructions

To install BalanceWare, download and run the BalanceWare Setup Program from our website. Our software is signed with a certificate, which can be examined at the beginning of the installation process.

As of the June 2022 release, the BalanceWare installer is digitally signed with an EV Code Signing Certificate. Therefore, defender will not intercept the download with a host of warnings and cryptic links to continue with the installation.

Updating BalanceWare 

BalanceWare software is not a subscription product. Once you purchase BalanceWare it will function indefinitely. BalanceWare cloud services are available only with an active update license.

Updates and cloud services are provided free for one-year. Thereafter, updates require an update/cloud license. An update license costs 60% of the then BalanceWare full price per year.

An installation of a version beyond the update license period will not function and will require removal and require an installation of a version issued prior to the license expiration.

When updates are available, BalanceWare will download and install the update automatically if the update license is active. 

The expiration date of the update license is displayed on the About form in the Help tab and on the Cloud form.

Transferring the Software License 

You can transfer the BalanceWare software license to a different computer. First, install BalanceWare on the computer you wish to activate. Select the About button on the Help tab and submit a support ticket. Let us know you would like to transfer a license. We will contact you with any questions and transfer your license. The process can be done as soon as we receive your support ticket.

BalanceWare Support

Support is offered via telephone, fax and email. We also offer remote services should we agree that an online connection to your database is required for troubleshooting. Support is free for a  12-month period, which starts with your installation date. 

We try to answer all of the support calls but if we are unable to take the call, please leave a message. We return telephone calls immediately. Support hours are 9 AM - 7 PM EST every day of the week. 

Support is free for 12-months after purchasing and for 12-months after a paid update. Support costs are invoiced in increments of $35 per hour with a $35 minimum if not covered by free support.

The trial version of BalanceWare is completely functional for 30-days, with the exception of cloud services. If you would like to try cloud services while using the trial version, please submit a support ticket and we will authorize cloud usage for an agreed upon period. After the trial period has expired, limited functionality is available only. Full support is offered during the trial period. 


Licensing is done on a per machine basis. Cost of the initial 5-licenses is $600.00. If more than 5-licenses are required, additional licenses for the same firm are $100.00 each. To request a license and arrange payment, please contact us or submit a support ticket requesting a Software License Key. We will need your Software Serial Number, which is on the About form in the Help tab on the ribbon. Cloud services, updates and support are included with all active licenses.


Updates, cloud services, and support are free for one-year. Thereafter, updates, cloud service and support are 90% of the then current price. You can skip several updates and still qualify for the 10% discount.

License Agreement

The full license agreement you are agreeing to by installing this software is below.  If you do not agree with these terms, you must not install the software.

Ownership of the Software
The enclosed software program ("Software") and the accompanying documentation are owned by BalanceWare or its suppliers and are protected by United States copyright laws, by laws of other nations, and by international treaties. You must treat the Software like any other copyrighted material except that you may make copies of the Software solely for backup or archival purpose, and you may transfer the Software to a permanent storage device.

Redistribution Rights
The Software may not be redistributed, in whole or part, in any form without express written permission from BalanceWare. 

Under no circumstances may you attempt to reverse engineer this product. You may not rent or lease the Software, but you may transfer the Software and the accompanying written materials on a permanent basis provided you retain no copies and the recipient agrees to the terms in this Software License. Ownership transfers must be reported to BalanceWare in writing.

This software is provided "as is" without any guarantees or warranty. In connection with the software, BalanceWare, Inc. makes no warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, of title, or of non-infringement of third party rights. Use of the software by a user is at the user's risk and is deemed acceptance of these terms. IN NO EVENT WILL BALANCEWARE, INC. BE LIABLE FOR ANY INDIRECT, CONSEQUENTIAL, INCIDENTAL, SPECIAL, PUNITIVE OR OTHER DAMAGES WHATSOEVER INCLUDING, WITHOUT LIMITATION, DAMAGES FOR LOSS OF PROFITS, LOSS OF DATA, LOSS OF GOODWILL OR BUSINESS INTERRUPTION, EVEN IF BALANCEWARE, INC. Submitting a support ticket is the best way to expedite your issue. The support ticket automatically includes information we need to service your installation properly. By submitting a support ticket, we won't have to ask you all the preliminaries and, if you add a brief description, we will be better prepared to get to the heart of the matter !
